The answer? Having a good working relationship and fantastic communication.
Let me explain: We organise our workloads based on our client’s priorities. Therefore, good communication is essential to ensure we understand the level of urgency on each task. Of course, the success is all in the detail; we have well-tested practices in place that keep us on track.
Time Batching
Batching our time works well; splitting our day into blocks of time. This minimises distractions, enables concentration, attention to detail and productivity. Time batching is flexible, allowing us to alternate between clients depending on the tasks level of priority.
Separating our daily tasks into batches helps us to dedicate our full attention to those particular tasks, as opposed to multitasking. It builds structure and boundaries so that we can dive deep into specific tasks without interruptions that break up your workflow. As you can see in the quote below, our clients really benefit from us using this strategy, as it allows us to seamlessly switch between work related tasks and life-style management. This then allows our clients to focus on their priorities.
Start the day right
We start each day with a clean slate. There may be projects or discussions that rolled over from the previous afternoon – but each day is a fresh one. We begin by reviewing all the mailboxes (regularly reviewing throughout the day to ensure we don’t miss any urgent requests). The first hour of the work day is the best time to access priorities and to focus on what needs to be accomplished. Everyone has their unique method of prioritising, but we start our day by staying focused, and with years of practice, we’ve realised that many things can wait, and others cannot. Two simple methods help us to achieve just that:
We step back and reflect. Taking a moment to look at the big picture. It’s easy to jump in and ‘just do it’ when you get to work, but we like to look at the larger goals in order to better prioritise our time.
We strategise. As we mentioned above, our strategy is essential to our success. Pursuing strategic clarity is a worthy objective. It’s hard to get somewhere if you don’t know where you’re going.
Being Present
We’re available across the full working week. Although we may not touch/work on every client’s workload every day, we prioritise to deliver the best results within the given time-frame – exceeding expectations is our ultimate aim. However, this does not mean that you need to hire us for long lengths of time, we can support you for as little as 20 hours a month, while still being available every day of the week. You would have complete flexibility in the support we offer, either long term or as and when you need it. As we charge by the hour, our clients have flexible access to a professional and experienced Executive PA for a fraction of the cost of a full-time assistant.
With effective time management, we take control of our time and stay on top of our daily tasks. However, it’s great communication with our clients that underpins our success.
